Job Description

Seeking a seeking an experienced candidate for the position of Assistant Project Administrator in the Project Management Division of the Tokyo office. Background and experience in commercial and/ or retail and/ or hospitality/ hotels projects or environments is desirable, along with a background in the design and/ or the construction industry. Knowledge of best practice organizational techniques and support to a team is essential. The successful candidate will have some experience in a project management, design, construction or associated profession and an aspiration to become an integral team member within the Project Management team in the largest privately owned global real estate company. The position offers the successful candidate the opportunity to expose themselves to the benefits of working for such a company, and to operating within the multi-faceted structure it provides as an organizational and business model for learning and advancement.

Responsibilities Include:
•Close support to project team/ s as required.
•Management of incoming and outgoing correspondences, and project invoicing assistance.
•Establishment and maintenance of filing (soft and hard) systems as per Cushman & Wakefield standards.
•Assistance to Projects Director and Project Management team as required regarding all facets of the project.
•Assistance to the project team in design, procurement, construction and project close out stages of the project.

•Assistance in the development of Microsoft Project scheduling, schedule tracking and updates, generation of Weekly/ Monthly reports, generation of meeting minutes, maintenance of tracking logs for major construction documentation such as Submittals, Construction Drawings, Non conformance notices, Request for Information, Requests for Proposal, Request for Quotation, Site Instructions, etc., coordination of Punch List preparation/ tracking and project close-out documentation.
•Preparation of, in conjunction with the Project Manager, Request for Proposal, Request for Quotation, and subsequent Recommendations documentation. Assistance throughout the entire procurement process.
•Proactive assistance overall that will assist to create operational efficiencies and minimize unnecessary time spent by project staff on administrative procedures.
•Participation in professional advancement and learning activities.

Required certifications

Applicant must currently reside in Japan.

•Minimum 3 years experience in a project management, design, construction or associated profession (ideally within a real estate entity, hotel or with a retailer).
•Formal University level qualification in a project management, design, or construction-related discipline.
•A good command of spoken and written Japanese and English languages.
•High standards of professional and personal presentation (communication and dress standards).
•Self-motivated and proactive individual who strives for excellence.
•Ability to operate proactively in team environments.
•Strong IT skills to be able to capably undertake responsibilities and to support other staff in the preparation of documents.
